Smart Resources is a boutique staffing firm specializing in administrative support staffing. We are currently conducting a search for a contract Executive Assistant/Project Coordinator to assist a growing organization  in Oak Brook, IL.

Job Title: Executive Assistant/Project Coordinator 
Location: Oak Brook, IL
Job Type:  Temporary 
Temp Pay Rate:  Based on experience
Hours: Full Time, Monday- Friday  
Process: Candidates will be required to pass a background check and drug test

Job Responsibilities:

  • Act as liaison with leadership, various departments and administrative staff

  • Handle all executive administrative support such as: calendar and scheduling, travel arrangements, messaging, written communications, copying/faxing, meeting planning, filing, etc

  • Complete key research and analysis on project at hand

  • Establish key processes to ensure efficiency in task completion

  • Prioritize and manage multiple aspect of project simultaneously and follow through on issues in a timely manner

  • Project management responsibilities such as creating detailed project plans, coordinating and assigning internal resources, and ensuring timely delivery

  • Manage  confidential data and materials in company database

  • Regularly correspond with accounting, operations and IT departments

  • Complete additional responsibilities as needed

 

Requirements:

  • Bachelor degree preferred

  • Project management and executive support experience required

  • Industry experience out of manufacturing preferred

  • Experience working in financial, operations, and executive support roles

  • Understanding of financial/accounting and operations terminology

  • High technical aptitude required  

  • Proficient in Word, Excel, PowerPoint

  • Proficient in SharePoint

  • Detail- orientated

  • Go- getter, enthusiastic, high energy personality

  • Reliable self-starter, willing to take on new responsibilities, learns quickly

  • Ability to continuously develop, adapt and successfully collaborate with others

  • Ability to problem solve, anticipate needs, multi-task, and work efficiently in a fast paced environment

  • Ability to complete assigned duties in a timely manner as requested by Supervisor/Manager

  • Ability to communicate effectively both orally and in writing

  • Team player
